Systems Theory in Information and Organizations

Introduction

Information systems are an integral part of the organization and are composed of people, hardware, structure, and procedures. An organization coordinates work to structures and standard operating procedures. These structure’s operation procedures are formal rules that have been developed over a long time for accomplishing the task. The roles played by managers and the decisions they make differ depending on the level of the organization such as managerial and strategic levels. From a business perspective, an information system is an organizational and management solution based on Information Technology.

Classification of Managerial roles

Interpersonal Roles

Managers play the role of the head of their organizations whereby they represent other members. They also act as leaders tempting to motivate, counsel, and subordinate. They also act as liaisons between various organization levels. They provide time, give favors and add motivation in return for better employee performance.

Informational Roles

Managers “act as nerve centers of the organization receiving most updated information then redistributes it to those in need to know about it,” (McLeod & Schell, 2007, p. 32). They, therefore, circulate crucial information to the other members of the organization.

Decision Roles

Managers make decisions, introduce innovative activities, solve conflicts that are experienced by members of the organization, distribute resources efficiently and carry out negotiations on behalf of the company (McLeod & Schell, 2007).

Importance of Management Information System

Management Information systems are important due to the emergence of global economies and digital firms; and the transformation of business enterprises and industrial economies.

Responsibilities and Privileges of Programmers

Programmers create and manage systems; are responsible for online protocol databases; they do coding; they report to the managers; they develop Graphical User Interface (GUI), and develop interfaces between software and laser systems.

Duties of a System Administrator

System administrators: analyze and identify computer systems; introduce new technologies in the organization; do the work of auditing; do backups in case of data lose in the organization; update Operating Systems that are currently used in the organization; do the work of installing and configuring the machine; they are responsible for computer security in the organization; they deal with the problems in the organization, and they ensure the network is intact.

Defense Health Care Medical system

This is an enterprise that is responsible for providing good health to the people so that they continue with their daily work effectively. For those persons in the military good health is required to provide good quality work during war time. Defense Healthcare is usually developed to give solutions to fatal issues.

Responsibilities of Network People in Health Care Medical System

The network people manage the contributors in the firm; they strengthen the team and its performance within the organization system; they manage customers in the organization for daily matters; they provide for the team for their online needs; they drive identification, assessment, and execution of ongoing process improvement; they create opportunities in terms of user experience, quality, and productivity; they identify new opportunities at work in the organization; and they design and implement the various services (Laudon & Laudon, 2007).

The Administrative Assistant and Information System

The administrative assistant, also commonly known as the secretary, is another important person in an organization. Her main roles involve managing the office, doing duties like typing, filing, and organizing the office for the boss. She also acts as the boss’ PA’ and takes most of his calls and keeps his appointments up to date.

Since information technology has become such an important tool in many, if not all, organizations in the world, the secretary needs to be computer literate. As technology gets more advanced, the roles of secretaries have also changed tremendously so that they can run organizations efficiently. They usually act as information and communication managers for an organization. They keep paper and electronic files safe and up to date. They also oversee project management issues, carry out research and conveyor receive information using telephones, websites, and mail services such as letters and fax and also through e-mail. They also take on operations like handling travel and guest arrangements not just for the boss but also sometimes for the entire organizational staff (Haag & Cummings, 2008).

A good administrative assistant knows her work, for example, she knows which mails should be sent first and at what time, which old mails should be discarded, which mails to be forwarded to the manager. She or he may also find himself or herself partly training new employees. So, for this reason, these administrative assistants should know how to work with different office equipment. They should also have good information and technology skills.

Programmer and Information System

A programmer is another important person in an organization who must also have excellent information and technology skills. Programmers can be categorized as computer programmers, code programmers, or just a specialist involved in coming up with many programs for an organization. His main role is to develop computer programs (computer programming). Mostly he or she is somebody that is trained in fields such as software development, software engineering, and computer science or software analysis. These peoples’ duties differ depending on the different business types they are writing programs for. Their programs are written according to the specifications of more advanced programmers and according to the company or organizational needs.

Budget Analysts and Information System

A budget analyst is a person who helps an organization to apportion its monetary resources by creating, assessing, and implementing budgets and also approximating expected financial requirements. Their main role is to evaluate the budget and find new methods of improving efficiency and increasing profits in various organizations. They tell program managers about the availability of funds. They handle so much data that cannot be done manually and as a result, they require information technology skills like using computer programs like excel, access, and other related budget packages (Baltzan & Phillips, 2009). Due to this, most companies and organizations have decided to incorporate programs like Enterprise Resource Planning in their budgeting systems. It combines an organization’s budgeting information into one computer system.

Other Staff Members and Their Knowledge in Information System

Other workers in an organization such as subordinate staff should also have information system knowledge for the efficient and effective running of the organization. These people can be called upon anytime when there is a shortage of employees in an organization to perform even the most basic duties that might require only a little knowledge of computers. So they need to have at least basic computer package skills. This comes in handy when the need arises and as a result makes the company or organization run smoothly (Hoving, 2007). It also portrays the employees as literate and educated.
